Examinations Policies and Procedures
CAUTION ON EXAMINATION MALPRACTICES TO CANDIDATES
The Principals/Heads of Institution shall be responsible for the general organisation and preparation to ensure the smooth conduct of examinations at the College/Institute/Centre and shall have custody of Examination question papers and answer scripts.

The Principals/Heads of Institution shall appoint a person of very high integrity as a Supervisor/Chief Invigilator/Examinations Officer from the senior members of staff or other qualified and experienced persons.

The person(s) so appointed in 6.2 above shall announce a caution to all candidates when examinations are about to start that candidates must not involve themselves in examinations malpractices such as copying, smuggling of unauthorised materials, books, notes, etc, into the examinations room.

Where a student shall be found to contravene the examinations regulations stated above in 6.3, such a student shall be expelled from the examinations room and barred from attempting any future examinations.

The Examinations Officer must ensure that all articles such as exercise and text books, notes, bags, and cellular phones are surrendered to the invigilator as candidates enter the examinations room.

The Invigilator or Examinations Officer must ensure that all candidates show proof of eligibility to sit the examinations by confirming the candidates’ identity with the examinations docket sent by the Examining body and the candidates’ identity card.
DUTIES OF THE EXAMINATIONS OFFICER/INVIGILATOR
He/she shall be responsible for the fair and proper conduct of the examinations and shall not at any time leave the examinations room unattended to.

He/she shall check the examinations room and remove any materials that may contain information to aid candidates, e.g., drawings, charts, maps, envelopes, notes, pieces of paper, etc.

He/she shall inspect packets of question papers for every session to ascertain that correct quantities of question papers and answer booklets are available and that the question paper tamper envelopes are not tampered with.

He/she shall inspect candidates as they enter the examinations room to ensure that no candidate shall enter the examinations room with unauthorised materials.

He/she shall check the identity of all candidates by use of the admission card and National Registration Cards or any other official identity documents.

Immediately the candidates are seated in the examinations room, he/she shall caution the candidates about examinations malpractice offences of cheating including smuggling of unauthorised materials in the examinations room and the consequences of being caught with such unauthorised materials.

He/she will ensure that candidates are seated in the examinations room at least fifteen minutes before the commencement of the examinations. During this time, candidates will be allowed to complete the details on the front page of the answer booklet.

He/she shall not permit a candidate to enter or leave the examinations room after the examinations has been in progress for 60 minutes (one hour). Candidates who arrive late but within the first 60 minutes (one hour) should not be granted any extra time.
RESPONSIBILITIES OF THE ZAMBIA INSTITUTE OF MARKETING
The Zambia Institute of Marketing in conjunction with any other body/organisation appointed by it shall be responsible for Marketing examinations in Zambia. In discharging this responsibility the Institute shall among other things do the following:

Determine the eligibility criteria for candidates to enter the examinations.

Set examination entry deadlines.

Determine and review examination fees from time to time as the situation may dictate.

Set examination centres on the basis of criteria determined by the Zambia Institute of Marketing.

Appoint examiners whose responsibilities will, among other things, include setting, moderating and marking examinations. Persons with questionable backgrounds (e.g. criminal records) shall not be eligible for appointment as Examiners.

Prepare examinations timetables and sending the same to both the candidates and the centres.

Issue examinations numbers to eligible candidates.

Advising the centres on the eligible candidates allocated to such centres by availing such centres with names and numbers of the candidates entered for the examination.

Printing the examinations papers and answer booklets.

Setting the examinations rules and regulations for every examination as seen fit.

Publishing the results upon approval by the Council.

Ensuring that all centres adhere to examinations regulations as prescribed by the Zambia Institute of Marketing.

Conduct spot checks on examinations centres to monitor how examinations are being conducted.

Where necessary, appointing individuals to sit on the results appeals committee, if any. Such appeals will only be heard if they are made within one month of the official publication of the results.
